Day-One Ready: How HR Can Get New Hires Logged In on Their First Day

First impressions start with the first login. Here's how HR teams using UKG can make sure every new hire has a working account, email and access on day one, without chasing IT.
A new hire's first day sets the tone for everything after. Too often, it starts with a laptop they can't sign in to, an email address that doesn't exist yet and a manager filing an urgent ticket.
For HR teams on UKG, the fix isn’t more emails to IT. It’s letting the information HR already enters flow to the directory automatically.
Why day one goes wrong
The request arrives late. The offer is accepted, but IT finds out a day or two before the start date.
Information is missing. IT needs a department, manager or location that hasn’t been finalized.
Details get lost in translation. Names are spelled differently, start dates change and titles get abbreviated.
The manager is left out. Login details sit in an IT inbox instead of reaching the people who need them.
Start earlier with UKG Onboarding
If your company uses UKG Onboarding, accounts can be ready before the employee’s start date, while they’re still completing their paperwork. Connect to AD only needs a first and last name to create an account, so it doesn’t have to wait for the full record. The rest fills in as HR completes the profile.
For UKG Pro customers, the UKG Onboarding add-on includes onboarding sync and 5 extra implementation hours.
Get the right access from the start
Creating the account is only the first step. New hires also need to land in the right groups so they can open the apps and files for their role. With User Provisioning and Group Mapping, the account is created in the right OU with group membership set by department, location and job. A new salesperson in New York gets the same access as the rest of the New York sales team, without anyone building it by hand.
Send the details to the right people
Notifications can send the username and a secure temporary password to the help desk or the employee’s manager as soon as the account is created. The manager hands them over on the first morning, and the employee is working within minutes.
Keep HR and IT on the same page
Once the account exists, Email Write-Back writes the directory email address back to the employee’s UKG record. HR doesn’t have to ask IT for it, and every system shares the same address.
What changes for HR
HR keeps doing what it already does: entering new hires in UKG. The difference is that there’s no second request, no follow-up and no first-day scramble. IT gets fewer tickets, managers get fewer surprises and new employees start their job instead of waiting for it.
